Receiving Auto-Substituted Drugs

When an auto-substituted drug is received, Propel Rx determines if the substitution is for the same DIN or a different DIN. Substitutions may be reconciled automatically depending on whether the drug and pack size exists in Propel Rx. When reconcilable, the monitoring and reorder parameters may be set automatically depending on the current setup of the received and substituted drugs.

Setting Monitoring and Reordering Parameters

This section is not applicable to products that belong to an Order Group. Monitoring and reorder parameters will not be modified for these products when an auto-substitution is received.

Received Drug

When a substitution is received for a product that was previously set to Do Not Re-Order, the following updates are made:

  • The Monitor flag is turned ON, if it was OFF previously.

  • The Do Not Re-Order flag is turned OFF.

  • The reorder method is copied from the default pack size of the original item that was ordered (for pack size substitutions) or the default pack size of its primary interchangeable (for DIN substitutions).

  • If the default pack size of the reference item is not monitored, the reorder method is set to ReOrder Pt/Pk and the Re-Order Point is set to 50% of the pack size (e.g., the Re-Order Point for a pack size of 100 would be 50). The Re-Order # Packs is set to 1.

The only exception is if the ordered drug was also set to Do Not Re-Order. In this scenario, no changes are made to the monitoring and reorder parameters of both the ordered and received drugs.

Received Drug

When a substitution is received for a product that is monitored, there are no changes made to the Monitor flag or reordering parameters of the received drug. If the received product was not monitored, the following is set automatically upon reconciling the purchase order:

  • The Monitor flag is turned ON.

  • The Re-Order Point is set as follows:

    • If it was a Pack Size substitution, the Re-Order Point matches the default pack size of the original item that was ordered.

    • If it was a DIN substitution, the Re-Order Point matches the default pack size of the primary interchangeable for the original item that was ordered.

    • If the default pack size of the reference item is not Monitored, the Re-Order Point is set to 50% of the Pack Size (e.g., the Re-Order Point for a Pack Size of 100 would be 50).

  • The Re-Order # Packs is set to 1.

  • The Do Not Re-Order flag is turned OFF.

Substituted Drug

The Do Not Re-Order flag is turned ON automatically for the drug that was substituted following purchase order reconciliation.

Auto-Reconcile Exceptions Report

The Auto-Reconcile Exceptions report will print each time a purchase order is reconciled in Propel Rx and substitutions exist in the invoice.

  • This report will list which drugs have been substituted. If Monitoring or re-order parameters were set automatically, they will be indicated here.

  • It also indicates which drugs were not automatically reconciled and therefore require attention.

It is important to fully investigate any drugs that aren’t received to ensure that any patients with owe balances or medications on order receive their prescriptions.
